Copilot Chat is a strong starting point for secure web-grounded drafting, reasoning, and questions. Microsoft 365 Copilot becomes relevant when the intended outcome depends on work context across files, email, meetings, chats, and Microsoft 365 apps without repeatedly supplying that context by hand.

When each option is the better fit
Start with Copilot Chat
Use it when people need general AI assistance, can provide the necessary content, and remain responsible for applying the result.
Not the first choice when: the same person repeatedly spends time finding and attaching work context from across Microsoft 365.
Consider Microsoft 365 Copilot
Use it when authorized work context, in-app experiences, search, notebooks, or advanced agents materially change the quality or speed of a defined workflow.
Not the first choice when: the use case is vague, source permissions are unreliable, or success is measured only by sign-ins.
Why not the other option?
The answer can change as the work changes
Do not buy the paid license only to remove copying and pasting. First determine whether access to work context changes the outcome enough to justify the license and governance attention.
Move from Copilot Chat to Microsoft 365 Copilot when a recurring, valuable workflow depends on authorized organizational context, the baseline is known, and the difference can be measured. Stay with Copilot Chat when the task is occasional, web-grounded, or adequately supported by supplied files.

Measure the workflow, not AI activity alone
- Time spent finding, selecting, and supplying context
- Elapsed time and rework for the completed business task
- Source coverage and factual corrections
- Frequency of the workflow and number of people who perform it
- Whether existing permissions expose more information than intended
